At a fun, smooth-flowing reception there is a certain energy that develops as your guests experience the facility you’ve selected, the menu you’ve planned and the quality of DJ/MC entertainment you’ve hired.

Helpful tips to consider:

n Set the mood. Dim the lights. Utilizing up-lighting with soft music playing during dinner creates a romantic ambiance. Dimming the room lights after the traditional events will suggest to your guests it’s time to hit the dance floor.

n Take formal pictures prior to the ceremony. By taking formal pictures prior to the ceremony you will have more time to enjoy your reception to the fullest.

n Place the DJ close to the dance floor. Placing the DJ near the dance floor allows your DJ to take requests and keep the music volume focused where it belongs, on the dance floor.

n KEY! Make sure your DJ is a Skilled Master of Ceremonies. Reception highlights such as your cake cutting, bouquet toss and special dances need to be skillfully coordinated and professionally announced in a timely, eloquent manner. By hiring a Seasoned Wedding DJ/MC you are assured peace of mind and a smooth flow of events.

n The Grand Entrance. Your Grand Entrance prompts the mood for your reception. Work closely with your MC to create an introduction that reflects the atmosphere you want to create.

n Do the Best Man’s Toast before cutting the cake. Decide if you want others, such as parents or friends to propose a toast. This is a good time to personally thank your guests too.

n The First Dance. One of the highlights of a reception is the First Dance. Doing it after the bouquet/garter toss is a great way to start the evening’s dancing without further interruptions.

n Don’t select every song your DJ will play. Tell your DJ what styles of music to feature or avoid, but don’t micro-manage your DJ’s performance. A Highly Experienced DJ will know how to read the crowd and play the right song at the right time.

n The Hokey Pokey? Think twice before you reject fun group dances like the Hokey Pokey, YMCA, Chicken Dance, Macarena and Electric Slide, etc. These popular songs are often requested and can create priceless memories for your guests. But more importantly, make sure your DJ will respect your “Do and Don’t Play” song requests.

Selecting the perfect DJ/MC is one the most important decisions you will make to ensure the success of your wedding reception. All the money you’ve spent on having a great reception rests upon your DJ to make it happen.

Budgeting for Wedding Entertainment

Filed Under Weddings | Comments Off

Stevie Dee asked:

Quite often the first thing on people’s minds when deciding wedding entertainment is how much is this going to cost. They often wait to select the entertainment until everything else is planned; leaving whatever money is left to spend on the entertainment. The ironic thing is almost everyone agrees that the entertainment will usually make or break the event. So you’ll want to make this decision wisely. If you can prioritize your budget accordingly, a professional quality band is quite often always a better value, as proven by simple math. If you are seeking a professional DJ for $800 (one person), then a 6-piece band (multiply $800 by 6) should logically be $4,800. But most professional bands quote a range of $500-$800 per musician, which can make the band as low as $3000 for a 6-piece group - less expensive per person than your average disc jockey.
___________________________________________________________________
There’s also another bonus! The band you hire will be providing live music whereas the DJ will be replaying pre-recorded music. Some may argue that pre-recorded music is never as good as the live performance. If you could have been a fly on the wall when songs such as Sweet Home Alabama, Respect, and Brown Eyed Girl were recorded you would have heard what the recording equipment could not capture - especially with the lower technology of the 60’s and 70’s. A great wedding band can re-create this missing sound of each of those artists right in front of you and your guests.

Now keep in mind not all wedding bands are the best. Your event is often a one-shot deal for you. You can’t afford to take a chance on a budget band or DJ (not on the biggest event of your life). If your budget has you looking at the bargain basement bands, consider a DJ for sure. If the focus of your reception is more of a party atmosphere, then budget accordingly. Saving a few hundred dollars might cost you in the end when your guests decide to leave early from boredom. When your guests enter the room and see and hear a live band, the food, decorations, and even flowers, will become secondary. Put your money where your return will be its highest. Imagine in twenty years as you reflect back on your wedding festivities, imagine what you and your guests will remember the most. Nine times out of 10 you’ll remember the entertainment most. With this in mind budget enough to get the very best.

Most couples pay from $60 to $150 per guest for food and yet they try to hire a band for around $7.50 per guest (based upon 200 guests). This is not very wise since the food doesn’t hold everyone’s attention for 3 or 4 hours like a band or DJ will. Ask yourself this: The entertainment has to pay for thousands of dollars of musical instruments, P.A., lighting, formal wear, office expenses, technical personnel, and the musicians themselves, right? How professional can an entertainer be if they are willing to play at your reception for one-tenth of what the food is costing you? I’m often amazed at how low a client’s entertainment budget is in comparison to food and the photographer. Let’s face it, the guests will eat three more meals the next day. In 6 months, they won’t have a clue what kind of food you served them at the reception. But they will remember whether or not your reception was a ton of fun. And what kind of photos will the $6,000 photographer snap at the reception? Will they be pictures of guests eating chicken fingers or having a blast on the dance floor? The irony is that the chicken fingers cost you much more. Who creates the party? Will the reception end when the food is eaten and the photos are taken? Let’s face it! The ultimate success of your reception is riding on the “low-bidder”, the entertainer. So get the BEST!

DJ Jem asked:

Even though your wedding day is billed as your ’special day’, you often can’t help but feel stressed and overwhelmed by the whole affair. Following are some tips to help you reduce the stress on your wedding day:

1. Try and eat a healthy breakfast. A healthy, nutritious breakfast will provide a wonderful start to your wedding day, followed by several small meals throughout the rest of the day. Incorporate into your meals a light menu of unsweetened fresh/dried fruit, unsalted nuts, raw vegetables, low-fat yogurt, cottage cheese, and high-fiber bread. Unsweetened fruit juices also help to calm stressed-out nerves.

2. Make sure you have some fresh bottled water with you at all times. Taking a few sips throughout the day is better than guzzling down the whole bottle in 10 minutes, unless you want to spend a lot of time running to and from the restroom. Among a host of other things, water is necessary for the body to digest and absorb vitamins and minerals. Coffee, tea, and caffeinated sodas prompt the body to lose water, so they can work against you on your wedding day.

3. Laugh! Find every reason throughout the day to find things around you that help to make you laugh. Laughter has been found to help in decreasing stress hormones that can constrict blood vessels and suppress immune activity.

4. Be very well organized. The more time you spend organizing everything with everybody prior to the wedding (e.g., caterer, event coordinator, photographer, disk jockey/DJ, videographer, limo driver, etc.) the less stress you will have on your wedding day. Do not leave things to the last minute, and try to have everything finalized at least one week ahead of your wedding day.

5. If you are leaving for your honeymoon immediately after the reception, don’t forget to have all your luggage (along with important items like passports, airline tickets, travelers checks, etc.,) packed and placed in a safe location you have access to.

6. Get a good night’s sleep the night before your wedding. In order to get a good night’s sleep the night before, you should

• avoid watching TV in bed;

• minimize noise, light, and temperature extremes in your room;

• avoid any naps during the day before;

• not drink caffeine at least 4 hours prior to going to sleep;

• avoid eating, exercise or alcohol prior to going to sleep.

7. Delegate as many tasks to as many people that are willing to help as possible. The less you have to do on your wedding day, the less stressful it will be for you.

8. Keep a healthy perspective on the day. Even though the wedding day is important, your future happiness does not depend on this single day alone.

9. Research has shown that music has a profound effect on your body and psyche. Music can be used to bring about a more positive state of mind, which can help prevent the stress response from wreaking havoc on the body. Make sure you work with your disc jockey/DJ to incorporate all the songs that mean the most to you in your ceremony and/or reception.

10. Understand that not everything on your wedding day is under your control. Names can get mispronounced, important participants can get lost or arrive late, nature can refuse to cooperate, vehicles can break down, and so on. Amidst all this, try and accept with grace and humility the fact that not everything is under your control.

11. Bonus tip! Above all, make sure you take the time to enjoy your special day, even though there will be a lot going on. Take in the elegant floral arrangements, the exquisite table settings, the smiling faces, the soothing music, and all the other special touches that have been put together just for you.

Stevie Dee asked:

When it comes to choosing Chicago wedding entertainment, you must choose your entertainment wisely or all the money you’re going to spent on the facility, flowers, and food may be wasted. How so, you ask? Well imagine if the entertainment choose to not show up the day of your event. This in itself could completely ruin your reception. So the importance of choosing a professional entertainment is vital. So now you understand the importance, but what type of entertainment should you choose. A band or a DJ? The following suggestions are intended to help you choose between a band or a Disc Jockey.

It can be tough to make the decision about whether to use a band or a DJ. In general, if you have the budget, a great live band will create an excitement at your reception that won’t be forgotten. Live music fosters an environment of excitement and many guests will spend a lot of their time on the dance floor, while for others, who might have less of a desire to dance find live music will provide an equally enjoyable concert atmosphere. In other words live entertainment creates the atmosphere for both audience participation and spectator enjoyment.

Now if you don’t have the budget to get the highest quality band, you may want to consider hiring a professional Chicago Disc Jockey. There are always perks to having a wedding band, but the professional DJ offers several perks as well. The number one perk of having a Chicago DJ is the variety of music they’ll be able to bring to the table. Whether it’s a classic 1950s mob hit or newly released hip hop song odds are the DJ is going to have it. They’ll also be able to spin your music seamlessly without having any breaks or awkward transitions that a band may have. A professional Chicagoland DJ not only should have a great music library, but should be experienced and professional at handling the microphone. This can be the deal breaker with a lot of DJs. Without the proper experience a lot of DJs can destroy your reception. Before signing with any event professional you should always meet with them face to face and talk about your ideas on the reception.

In the end, you’ll want to try and see the wedding band or DJ actually performing to know if they’re right for you. No, this doesn’t always mean you need to crash a wedding, but if they’re playing a reception at an open event peek your head in the back and watch for their style. Since the DJ or band leader will act as the Emcee of your wedding reception, you’ll need them to be a polished and charismatic speaker and not annoying and unfriendly.

EFREN
Kenneth Gauthier asked:

With the economy faltering, consumers are paying closer attention to their spending habits within a shrinking budget. When it comes to hiring a dj, potential clients are shopping their possibilities even more so. To make your search easier and to ensure you don’t fall prey to bottom feeding djs who will promise you the world for a penny and subsequently provide you a less than stellar performance, I offer the following advice.

1) Seek value for your dollar, not cheapest prices. Professional djs should offer basic items as standard. Specifically, in-home, pre-event consultations for wedding and corporate clients. Bride and grooms are busy planning their weddings and anything that can be offered to make their search easier, is appreciated. Vendors that make the added effort to meet the client on their turf shows a level of commitment that will carry over to the performance.

2) Inquire about the equipment your dj uses. There are manufacturers of dj equipment that are far superior than others. The commitment to one’s company will be indicative of the quality of equipment that is purchased and maintained. The dj’s website should list the variety of amps, speakers, cd players, mixers, mics, etc he uses for his performances.

3) Ask for references. An experienced disc jockey should be able to provide an ample list of sources to provide feedback and answer questions regarding past events. Don’t rely only on wedding references either; look at other former events as well if you want your special day to not be just any old normal wedding reception. How a dj entertains and motivates guests at parties and dances will provide an indication of what he can do for your wedding.

4) Specify versatility by looking for djs that can move from one style of music to another if that is what you require. Most weddings today are attended by peoples from a wide mix of races and cultures, so competent djs need to be able to offer more than just the standard fare of top 40.

5) When searching for personalization of your reception, inquire about multiple packages and options. Competent disc jockeys should be able to offer a variety of add-ons, such as pinspotting, uplighting, and gobo projection. The least amount of vendors you have to hire should result in less headaches and lower pricing. In addition, a variety of plans to meet a variety of budgets should be available, where package deals should provide a better bang for the buck.

6) Attempt to find a dj that is not only capable, but is willing to work with you. First of all, do realize that the professional dj is great at what he does. He knows how to work a crowd and keep them on the dance floor, if that is what you want to acheive for your event. So do remember not to require that your dj conform to a playlist for the entire performance. Most djs will not offer their services if they are instruced to act like a human ipod…it is their reputation at stake when the songs selected by the client don’t go over with their guests. However, on the other hand, do not consider a dj who is not open to your requests. Clients should lay the groundwork by indicating the styles of music to be played, which titles if any, not to play, and maybe a couple dozen specific songs to spread throughout cocktails, dinner and dancing.

7) Verify there are guarantees when you book your event. Professional and competent djs use contracts to secure performances. Most include provisions for cancellations, specific appearances, and other circumstances. The disc jockey wants to protect his interests as well as yours…insist on and require a signed contract that specifies the details of your affair.

In summary, the business of mobile entertainment is a competitive one. When looking to hire a dj for your event, you’ll be faced with a large assortment of disc jockeys vying for your business. To avoid a dreadful performance because you settled on the lowest price or being

overcharged for a lackluster affair, clients must be prepared. By using these tips and maintaining an open mind during your search, there is a great chance that the dj you hire will be the best for you and your special event.
